Position Overview:

The Clinical Support Assistant provides administrative support for clinical education operations across student and clinical site touchpoints. Working in close collaboration with clinical and academic leadership and faculty, this position ensures accurate documentation, timely communication, and organized coordination of clinical placements and faculty assignments to support the achievement of program outcomes.

Key Responsibilities:

Student & Clinical Site Support

  • Serve as the initial point of contact for students regarding clinical education inquiries, facilitating timely communication and resolution with campus clinical leadership.
  • Organize and distribute accurate student clinical assignment rosters to clinical partners based on registration rosters, identifying assigned students by facility, unit, and rotation dates using placement applications or standardized spreadsheets consistent with clinical partner expectations.
  • Assist with planning new student orientation and Vitals to Success programming to ensure students receive information regarding clinical requirements.
  • Provide ongoing administrative support to clinical leadership related to clinical affiliates and clinical operations.

Documentation & Compliance

  • Ensure proper collection, maintenance, and organization of required clinical documents in accordance with clinical partner requirements and organizational policies.
  • Track and monitor clinical site-specific student and faculty compliance requirements while maintaining student and faculty confidentiality.
  • Adhere to and ensure clinical affiliate deadlines are met for required clinical documentation submissions.

Faculty & Scheduling Support

  • Maintain an electronic database for the coordination and assignment of faculty teaching assignments, consistent with faculty teaching qualifications, curriculum requirements, and human resource guidelines.
  • Monitor and track clinical attendance; with oversight from clinical leadership, schedule students for appropriate clinical make-up opportunities and assist clinical faculty with documentation upon completion.
  • Monitor and track faculty attendance and provide support with meeting minutes at meetings and educational offerings.
  • Perform other duties as assigned.

Position Requirements:

Education: Bachelor’s degree (preferred) 

Experience:  At least two (2) years of administrative support experience. Familiarity with the educational objectives and clinical experience of nursing students preferred. Understanding of the clinical practice of nursing and the types of clinical sites needed to meet course content and objectives preferred. Knowledge of the diverse organizational environments in which nursing is practiced preferred.

Skills & Competencies:

  • Strong customer service skills with ability to respond to student and clinical partner inquiries in a professional and timely manner.
  • Excellent written and oral communication skills.
  • Proficiency in Microsoft Office Suite, including Excel, PowerPoint, Outlook, and Word.
  • Ability to manage competing priorities and meet deadlines with minimal supervision.
  • Strong attention to detail and commitment to accuracy in documentation and record-keeping.
  • Ability to exercise discretion and maintain confidentiality of student and faculty information.

Physical & Mental Demands

This position is primarily sedentary and performed in a standard office environment. The following physical and mental demands are representative of those that must be met to successfully perform the essential functions of this role:

  • Ability to remain in a stationary position for extended periods of time while operating a computer and other office equipment.
  • Occasionally moves about the office to access files, equipment, or attend meetings.
  • Frequently communicates verbally and in writing with internal and external stakeholders; must be able to exchange accurate information in these situations.
  • Must be able to read and review documents, data, and on-screen content with close visual attention and attention to detail.
  • Ability to manage multiple priorities, meet deadlines, and work effectively under moderate pressure.
